Customising Zoho CRM Quick Views, Dashboards, and Fields

How to redesign Zoho CRM list views, Canvas/UI layouts, dashboards, and custom fields so sales teams actually use the system.

Most “CRM feels cluttered” complaints are not a Zoho CRM features problem — they are layout and field debt. Quick views, module layouts, Canvas, and dashboards decide whether reps live in CRM or bounce back to spreadsheets. Customisation should remove clicks, not add vanity fields.

Who this is for: Australian teams with Zoho CRM already live (or mid-implementation) who need cleaner list views, role-based dashboards, UI field updates, and new fields that map to a real process — not a brainstorm dump.

Quick views and list views: build views from decisions, not columns. Examples: “My deals closing this month”, “Leads with no activity 7 days”, “Accounts missing ABN”. Limit columns to what changes the next action. Share views by role; hide org-wide junk views that confuse new starters. Filters should match pipeline language sales already uses.

Layouts and UI field updates: put required fields early in the create flow; bury rarely used fields in a secondary section or layout rule. Use layout rules and validation so stage changes demand the data forecasting needs. Canvas (where licensed) helps visual selling layouts — still start from process, not decoration. Zoho CRM canvas searches often mean “make it look modern”; lasting value is fewer empty mandatory fields.

Adding new fields: name them for reports (“Close reason”, not “Notes2”). Prefer picklists over free text when you will dashboard later. Check edition limits (custom fields per module rise from Standard through Ultimate). Document owner and purpose in a field dictionary so the next admin does not duplicate “Industry” three times.

Dashboards: one job per dashboard — pipeline health for sales managers, activity hygiene for reps, conversion for leadership. Homepages should surface the team’s primary dashboard, not every chart ever built. Schedule email delivery of key dashboards so they get used. For heavier BI across Books and Desk, Zoho Analytics is often cleaner than stuffing CRM with 30 components.

What goes wrong: 80 custom fields with 10% fill rates; dashboards nobody opens after week one; list views with twenty columns on a laptop; editing production layouts without sandbox (Enterprise+); Deluge written to compensate for bad field design.

Our approach: workshop roles and decisions → prune unused fields → redesign layouts and quick views → rebuild 2–3 dashboards people will open weekly → train by role. Checklist: export field usage where possible; list views per role; mark fields to archive vs keep; draft one homepage per role; agree dashboard KPIs; test on mobile; document changes for the internal champion.
